With the rapid growth of online shopping, receiving packages reliably has become a daily challenge in modern rental living. Many people struggle with "being away for work during the day," "living in an apartment without a delivery locker," or "missing redelivery notifications." Repeated redelivery requests and trips to pickup locations can become significant sources of stress. This article offers practical delivery and mail management strategies from a renter's perspective.

How to Use Delivery Lockers When Your Apartment Has One

Increasingly, condominiums and apartment buildings come equipped with delivery lockers. These are shared facilities installed by the management company or residents' association, providing a convenient way to receive packages securely even when you're away.

The system is straightforward. When a delivery person places your package in a locker, a notice slip with the locker number and passcode is left in your mailbox. When you get home, check the notice, enter the passcode at the corresponding locker, and retrieve your package. Modern lockers increasingly feature smartphone apps for remote notifications and electronic locks, allowing you to know your package has arrived even before coming home.

One important point: if the locker is full, your package will be treated as undelivered and redelivery will be necessary. Getting into the habit of retrieving packages promptly and clearing lockers by the next morning shows consideration for other residents. Also note that oversized items (appliances, furniture, etc.) that exceed the locker's dimensions cannot be stored. When ordering large items, arrange the delivery date in advance, either by ensuring you'll be home to receive it or by confirming with the building manager if temporary storage is available.

Package Delivery Solutions for Apartments Without Lockers

Even without a delivery locker, combining several strategies can significantly improve your package delivery experience.

Specify Delivery Dates and Times in Advance

Major e-commerce sites like Amazon and Rakuten, as well as delivery companies, offer date and time specification services. By designating your preferred delivery date and time window at checkout, the likelihood of being home to receive your package increases dramatically. You can also change delivery dates and times via email notifications or app after shipping, allowing you to adjust based on your work schedule.

Incorporate Convenience Store and Locker Pickup Into Your Routine

Delivery companies like Yamato Transport (Kuroneko Members), Sagawa Express (Smart Club), and Japan Post (Yu-pack Smart Locker) offer pickup services at convenience stores and dedicated lockers. By designating a convenience store near your home or along your commute route as your pickup location, you can collect packages anytime, 24/7, within your local area. This is particularly helpful if you frequently arrive home late at night.

Use Contactless Delivery Wisely

Many online retailers, including Amazon, now offer contactless delivery as a standard option. You can specify locations like your front door, a delivery locker, or a gas meter box, eliminating the need to be home. However, leaving packages in shared building hallways carries theft risk—be cautious. Some renters use locked delivery boxes (fabric or metal) placed at their front door, but many buildings restrict such items in shared areas, so always confirm with management before setting one up.

Managing Mail and Protecting Against Mishandling

Managing regular mail and direct mail (DM) is just as important as handling deliveries. Mailboxes in apartment buildings are relatively vulnerable to theft, so it's important to develop good management habits.

First, check your mailbox daily to prevent mail from accumulating. Mail sitting in your mailbox for extended periods signals to outsiders that the unit is unoccupied, creating a security risk. With shared mailboxes, double-check apartment numbers to avoid accidentally removing another resident's mail.

Request that credit card companies and banks send cards and important documents via registered mail (with tracking) for peace of mind. If you receive unfamiliar bills or mail from unknown senders, don't open them immediately—check the contents carefully first. If anything seems suspicious, consult the Consumer Affairs Center or your local post office.

Mail Forwarding When You Move

When you move, it's important to set up mail forwarding promptly. Japan Post's "change of address" service allows you to forward mail from your old address to your new one for free for up to one year.

You can file a change of address two ways: in person at your local post office by filling out a form, or online via Japan Post's website (e-Tensokyo). Both require ID verification. Submitting your change of address 1–2 weeks before your move date ensures the forwarding service works smoothly immediately after. For a complete moving timeline including other necessary procedures, see our moving checklist.

However, registered mail marked "do not forward" and certain official documents will not be forwarded. You must update your address separately with important institutions like banks, credit card companies, insurance providers, and securities firms. Prioritize official procedures, especially moving your resident registration. Since incomplete address changes often lead to problems later, create an "address change checklist" when you decide to move and work through it systematically to ensure nothing is missed.

Creating a Comfortable Delivery System

To make delivery and mail management more comfortable, the key is to combine different services and create a receiving style that fits your lifestyle.

Make full use of delivery company apps. The apps from Yamato Transport, Sagawa Express, and Japan Post allow you to get real-time delivery notifications, change delivery dates and times, and switch pickup locations easily. Multi-carrier unified tracking services are also emerging, helping you minimize the risk of missing notifications.

Organizing your mailbox area is also surprisingly effective. Clearly labeling your mailbox with your name prevents misdelivery, and small touches like placing a trash bin near your mailbox for unwanted mail along your entry route make daily mail management easier.

To prevent delivery-related problems and enjoy stress-free rental living, tailor your receiving system to your lifestyle and your apartment's facilities. Developing the habit of checking for delivery lockers, mailbox design, and security during your apartment search will help you choose a more livable home.
