What Are Delivery Boxes? Prevalence in Rental Properties

As online shopping has become part of daily life, the way packages are received has also changed significantly. Delivery boxes are automated package-receiving facilities installed in common areas of multi-unit residential buildings, allowing you to safely receive packages even when you're away from home.

Delivery boxes are most commonly found in relatively new condominiums or well-maintained properties. According to surveys by the Ministry of Land, Infrastructure, Transport and Tourism, the installation rate of delivery boxes in multi-unit residential buildings is increasing year by year, with more than half of newly built condominiums now equipped with them. However, older buildings and apartment complexes often do not have them, making it necessary to find alternative methods for receiving packages.

Proper Use of Delivery Boxes in Properties That Have Them

Using delivery boxes smoothly requires understanding the basic operation procedures.

Verifying Your PIN and QR Code Most delivery boxes use a PIN entered via a keypad on the delivery notice to unlock the box. Electronic boxes increasingly allow unlocking via smartphone apps or QR codes. During move-in, confirm the operation method with your property management company.

Promptly Retrieving Your Package Since the box is a shared facility, it's courteous to remove your package promptly. Leaving packages for extended periods fills up the box and prevents other residents from using it. Once you receive a delivery notification, aim to collect your package the same day or the next day.

Pre-Checking for Large Items Delivery boxes are designed for standard-sized packages. Large appliances or furniture may not fit, so either specify to the delivery company "return if no one is home" or schedule a specific delivery time when you can be present.

Using Parcel Placement in Properties Without Delivery Boxes

Even without a delivery box, parcel placement services allow you to receive packages while away.

What Is Parcel Placement? Parcel placement is a service where packages are left at your entrance or a designated location to complete the delivery. Amazon, major e-commerce sites, and delivery companies including Sagawa Express, Yamato Transport, and Japan Post all now offer this service.

Things to Confirm Before Using Parcel Placement Parcel placement in rental properties may be restricted by building management rules or property regulations. In particular, placing packages in common hallways or entrance halls could be considered "private occupancy of common areas." It's safest to check with your property management company before using this service.

Using a Parcel Placement Bag An alternative is to purchase a "parcel placement bag" or "personal delivery box" from a home improvement store or online and place it at your entrance. However, if your building rules prohibit private items in common hallways, this option won't work.

Protecting Against Theft While convenient, parcel placement does carry a theft risk. For expensive items, avoid parcel placement, or specify a location that isn't easily hidden from security cameras. Once you receive notification that your package has been placed, retrieve it promptly.

Common Delivery Box Issues and How to Handle Them

Even with a delivery box installed, problems can occur.

The Box Is Full and Won't Accept Your Package If the box is already full from other residents' packages, the delivery person will leave a notice and take your package back. In this case, request next-day delivery or arrange to pick up at a convenience store. You could also request that the property management add an additional box.

You Didn't Receive the PIN or Don't Understand It If you didn't receive a notification on your smartphone or lost the delivery notice, contact the delivery company's customer support to request a reissue. Your property management can also help coordinate with the delivery company.

Someone Else's Package Was Mistakenly Placed in Your Box If another resident's package is in your box by mistake, don't open or move it. Contact your property management and ask them to handle it.

Your Package Was Wet or Damaged Package damage or water damage in the box may be due to the box's waterproofing or poor packaging during shipping. Report it to the delivery company and request compensation.

Key Delivery Box Considerations to Check Before Moving In

Checking the following points when choosing a property will help you avoid regrets later:

  • •The ratio of the number of boxes to units (few boxes relative to units means high competition for use)
  • •Whether boxes are electronic or mechanical (electronic is easier to use but may have power outage risks)
  • •Availability of large boxes (important if you receive appliances)
  • •Waterproofing and security features (especially important for outdoor boxes)
  • •Whether private items can be placed in common hallways (relevant if you want to use a parcel placement bag)

Delivery boxes are expected to become an increasingly important amenity in the future. During a property viewing, actually test the operation method yourself and judge how easy it is to use.
